The Competency overview shows, for every role in your organisation, which required competencies are covered and who is missing one or has let a qualification expire.
Why this protects your organisation
A developer on call who has never handled a security incident, or an administrator whose cloud certification lapsed a year ago, is a risk you can prevent. Knowing who lacks which knowledge keeps important work away from people who are not prepared for it, and tells you where to spend your training budget. ISO 27001 clause 7.2 asks you to determine the competence people need and to keep evidence that they have it.
Steps
- Open Roles, open a role and add what its holders need to know under Competency requirements.
- Open People, open a person and record their trainings and certificates under Qualifications.
- For each qualification that covers a requirement, choose it under Satisfies competency, and fill in Valid until if it expires.
- Open Competency overview in the Organisation group.
- Read the column Who needs attention and plan training for the names listed there.
This screen is read only. It brings together what you record in two other places: the requirements on Roles and the qualifications on People.
The columns
- Role The role the requirement belongs to.
- Competency What holders of that role need to be competent at.
- Who needs attention Either Everyone who holds this role is covered, or a short list: Missing, with the people who hold the role but have no qualification linked to this competency, and Expired, with the people whose linked qualifications have all passed their Valid until date.
Qualifications
On a person's page, each qualification has a Type (Training or Certificate), a Title, the date it was Obtained on, an optional Valid until date and a file as Evidence of at most 12 MB. A qualification without a Valid until date never expires. A person with at least one valid qualification for a competency counts as covered, even if an older one has expired.
If it does not work
The overview is empty
Nothing shows up until at least one role has a competency requirement. Add requirements on the role's own page under Roles.
Someone is listed as missing a competency although they did the training
The qualification is probably not linked to the requirement. Open the person, edit the qualification and choose the right competency under Satisfies competency.
Someone is listed under Expired
The Valid until date of their qualification has passed. Record the renewed training or certificate as a new qualification with a new date.
I cannot add a requirement or qualification
Requirements and qualifications fall under the Improvement module. Advisors need edit rights for that module from the workspace owner.
