Documents on request lists the established documents customers can request through your trust page. They accept an NDA first and only receive a personal download link after someone in your workspace approves the request.
Why this protects your organisation
Larger customers often want to read your full information security policy or another key document before they sign. Emailing PDFs around means you lose track of who has what, and which version. Sharing on request puts every copy behind an NDA, a decision by your own people and a link that expires, and keeps a record of who received which version and when they downloaded it.
Steps
- Make sure the document is established on the Documents screen.
- As owner, open Documents on request in the Prove group and click New document on request.
- Choose the Document. Leave NDA text empty to use Trustbird's standard confidentiality terms, or paste your own. Click Create.
- Check that the trust page is on. The document then appears there with a Request access link.
- Handle incoming requests under Document requests.
The list shows each Document, whether its NDA uses the Standard text or your Own text, whether it is Available on request, and how many requests are Waiting and Approved.
What the requester gets
The requester always receives the version of the document that is current at the moment the request is approved. The personal link works for seven days. The top of the PDF states with whom it was shared in confidence and on which date.
Switching a document off
On an existing entry you can switch Available on request off. The document then disappears from the trust page and links already sent stop working. The NDA text can be changed at any time; the document itself cannot, so create a new entry if you want to offer a different one.

If it does not work
I cannot add or change a document on request
Only the workspace owner decides which documents may leave the organisation this way. Members and advisors can see the list.
The document I want is not in the list
Only established documents can be shared, and each document only once. Establish it on the Documents screen first, or open the existing entry for it.
Customers cannot find the document
Documents only appear while the trust page is on and while Available on request is switched on for the document.
