My documents to read lists the approved policies and procedures you have been asked to read. You open each one, read it and confirm that you did. Trustbird records who confirmed which version and when.
Why this protects your organisation
A policy nobody has read does not change how people work. Asking colleagues to read and confirm the agreements that apply to them makes sure they know them, and gives you proof that they do. When a customer or an auditor asks whether staff know the security policy, the confirmations answer that per person and per version. ISO 27001 expects people to be aware of the policy and of their own part in it (clause 7.3).
Steps
- Open My documents to read in the Today group.
- Find the documents with the status Not yet confirmed.
- Click Review to open the text of that version.
- Read it through and click Confirm read at the bottom.
- The status changes to Confirmed. With Read you can open the text again later.
This page is your own reading list. It only shows the documents that were requested of you personally, never those of colleagues.
The columns are Document, Version, Requested and Status. The newest request comes first.
Where the requests come from
On the Documents screen, the owner of a document or the owner of the workspace chooses which members must read an approved version, with Request reading. Only approved versions can be requested, so you always read the text that actually applies. Under Readers on that version they see who confirmed and who has not yet.
What is recorded
Each confirmation records who confirmed, which version and at what moment. It is written to the audit log and cannot be changed afterwards. The screen of a person under People also shows which approved documents they confirmed.
If it does not work
The list says Nothing to read right now
Nobody has asked you to read a document yet. Readers are chosen on the Documents screen, on an approved version, with Request reading.
I confirmed a document by mistake
A confirmation cannot be changed or removed, so that the record stays reliable. If you have questions about the content, raise them with the owner of the document.
A document I already confirmed is back in the list
A new version of that document has been approved. Everyone who was asked to read the previous version is asked again for the new one.
I want to ask colleagues to read a document, but I do not see Request reading
Request reading appears on the approved version of a document on the Documents screen, for the owner of the document and the owner of the workspace.
