Tasks holds every task in the workspace. You create a task with an action, a reason, an owner, who carries it out, a priority and a deadline, link it to a risk or measure, and complete it when it is done.
Why this protects your organisation
Agreements about security only count when someone carries them out. A task makes that concrete: who does what, by when, and why. It also leaves a trail. When an auditor or a customer asks how you followed up on an incident or a risk, the completed tasks show it, dated and with a name attached.
Steps
- Open Tasks in the Today group and click New Task.
- Write the action under Title and, under Why this matters, one sentence on why it is worth doing.
- Link the task to the risks or measures it belongs to, if any.
- Choose the Owner and who it is Assigned to from your people, and fill in Priority, Status and Due.
- Click Create. The task appears under My tasks for the person it is assigned to.
- Click Complete in the list once the work is done.
The list shows every task in the workspace, with the soonest deadline first and tasks without a deadline at the end. Each row starts with the action, with the reason and the linked risk or measure underneath, followed by Assigned to, Priority, Status and Due.
The fields
- Title: the action, written as something to do.
- Why this matters: one sentence for whoever picks this up. Optional for tasks you create yourself, always present on tasks Trustbird prepares.
- Risks this task belongs to and Measures this task belongs to: link the task to what it protects.
- Description: any further detail.
- Owner: who answers for the task being done. Assigned to: who carries it out.
- Priority: Low, Normal, High or Urgent. Status: Open, In progress, Completed or Cancelled.
- Due: the deadline.
Also covers
When a task is linked to a measure, its detail page shows a collapsed block Also covers. It lists the requirements of your adopted standards that those measures cover, so you can see which parts of a standard the work contributes to.
Tasks on other screens
Tasks can also be created from the record they concern, for example a supplier, an asset, a person, an incident or a management review. There you create a new task or link an existing one, and the task still appears here and under My tasks.
If it does not work
The Owner and Assigned to lists are empty, or a colleague is missing
Both fields choose from the people under People in the Organisation group, not from the members of the workspace. Add the colleague there first.
I cannot create or edit tasks
Owners and members can create and edit tasks. An adviser only can once the owner of the workspace gives them edit rights for the Improvement module. Deleting a task is reserved for owners and members.
Why this matters is not editable on some tasks
That task was prepared by Trustbird, for example for a review or when a colleague joined. Its reason comes from Trustbird and is marked Prepared by Trustbird.
I cannot find a task
Search on the title, or check the Priority and Status filters above the list. Completed and cancelled tasks stay in the list.
